Purpose of Position

:Manages and organizes Urgent Care non-clinical office operations, procedures and employees including fiscal oversight and patient services. Directs the daily operations for the Urgent Care non-clinical staff to reduce the number of failed eligible reimbursements and denials and increase accuracy during patient registration.


  • Provide administrative support and services to the Executive Director of MACC Urgent Care Services: Orders and maintains supplies and equipment Establishes and maintains files and records Continuously reviews and updates administrative processes and procedures to ensure a high level of efficiency and effectiveness.
  • Manage expenditures to improve financial performance including: Manage daily work list, encounter edits and reports to ensure that all encounters are cleared for timely filling Design and adjust staffing for efficiency of service Identify expenditures that can be avoided or reduced Monitor performance compared to budget Ensure complete collection of cash for patient responsible charges at time of visit Analyze and improve systems to promote smooth patient flow and physician efficiency in seeing patients.
  • Oversees the training and implementation of new processes and development of Urgent Care registration staff for best practices. Works with Patient Access Managers for developing educational material for staff on topic such as, MSPQ, Compliance and other CMS Compliance related topics. Conducts quarterly training seminars with staff
  • Develop and review monthly “dashboard” reports on key performance indicators (KPIs) and manage practice to meet and exceed targets. Prepare reports for practice leadership and senior management
  • Lead process redesign efforts geared to improving patient satisfaction with our registration process. These may include but not be limited to implementation of Kiosks and Tablets to enhance the pre-registration practices
  • Assist Nurse Managers with routine reporting related to registration wait times, and PI initiatives
  • Troubleshoot and evaluate work product of staff, make recommendations to senior leadership and implement changes.
  • Work collaboratively with Patient Access to ensure that registrars are fully capable of using technology to fully register the Urgent Care patients.
  • Participate in and provide input and feedback for employee evaluations. 
  • Conduct monthly meetings with staff
  • Collaborate with Human Resources to maintain and uniformly apply MACC Policies and Procedures
  • Perform other work-related duties as assigned
  • Qualifications

  • Education/degree in Health Care Administration or related field; Bachelor’s Degree preferred
  • Experience with performance improvement preferred
  • 3-5 years’ experience in a Medical Office setting
  • Medical terminology, advanced computer skills including computerized billing and scheduling systems, and basic knowledge of regulatory requirements is essential
  • Excellent organization skills and ability to handle multiple projects simultaneously.
  • Excellent customer service and phone skills.
  • Advanced computer skills. Thorough knowledge of Microsoft office applications, computerized billing and scheduling systems.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must possess the ability to deal tactfully with personnel, patients, family members, visitors, and the public.
